Label Manager
Core Responsibilities:
Operational Backbone
Oversee release schedules, manufacturing, and merch production.
Handle logistics: distribution setup, inventory, shipping.
Contract & Deal Coordination
Draft/route artist agreements, producer contracts, and licensing deals (under lawyer review).
Track key dates: contract expirations, royalty accounting periods, delivery deadlines.
Project Management
Act as central hub between A&R, marketing, artists, and external partners.
Ensure timely delivery of assets for releases.
Systems & Tools
Implement/administer ops tools: project management (Jira), accounting, and CRM.
Finance Manager
Core Responsibilities:
Financial Control & Reporting:
Manage daily cash flow, accounts payable/receivable, and banking.
Prepare monthly financial statements for the label.
Track budgets vs. actuals for artist projects and marketing campaigns.
Implement cost controls for production shoots.
Royalty & Revenue Management:
Calculate and process artist royalties.
Track sync licensing income and ensure timely collection.
Audit distributor/publisher statements.
Manage sponsorship payments for the TV series.
Compliance & Risk:
File sales tax (GA + other states), payroll tax, and 1099s.
Ensure rights-holder payments to avoid IP disputes.
Maintain audit-ready records for investors/label partners.
Strategic Support:
Model scenarios (e.g., "What if we sign 3 more artists?" or "Cost of Asia auditions?").
Advise on funding strategies.
Flag cash flow gaps.
Administrative Assistant
Core Responsibilities:
Communication & Scheduling Hub:
Monitor and triage general label email, flagging urgent items for relevant managers. Draft routine correspondence.
Schedule meetings, calls, studio time, travel, and appointments for key staff (Founder, Label Manager & A&R.) Manage complex time zones.
Facilitate information flow between label teams. Distribute meeting agendas, notes, and reminders.
Document & File Management:
Track contract execution timelines, organize signed copies, maintain secure digital filing system.
Organize and maintain digital and physical files for HR, finance (invoices, receipts), marketing assets, production documents, artist materials, legal correspondence.
Update contact databases, label rosters, release schedules, production schedules.
Logistics & Operations Support:
Book flights, hotels, ground transport, and visas per manager instructions.
Act as a point of contact for routine communications with vendors, freelancers, and service providers. Track deliveries.
Book meeting both online and offline. Assist with logistics for small label events or production shoots locally.
Financial & Administrative Support:
Collect, code, and submit invoices from freelancers/vendors to Finance for payment approval. Track payment status.
Assist staff with compiling and submitting expense reports according to policy.
Help the Label Manager update simple budget trackers with actual expenses (based on processed invoices).
Social Media Associate
Core Responsibilities:
Daily Content Execution
Schedule & publish posts across platforms using tools like Buffer.
Adapt the Manager’s monthly content calendar into daily workflows.
Source/create simple visuals (memes, fan edits, behind-the-scenes clips) under brand guidelines.
Community Engagement
Monitor comments/DMs daily; escalate urgent issues to Manager.
Engage fans with templated replies.
Flag trending conversations or viral moments relevant to artists/label.
Analytics & Reporting
Track basic KPIs weekly.
Compile platform-native analytics screenshots for Manager’s review.
A/B test captions/hashtags under Manager’s direction.
Content Support
Film/edit raw BTS footage from artists/events into short-form clips.
Research audio trends and suggest sync opportunities.
Localize captions for key markets using translation tools.
Campaign Assistance
Execute giveaway mechanics.
Coordinate fan-generated content submissions.
Graphic Designer
Core Responsibilities:
Brand Identity Development
Design logo(s) for the label, artist group, and other projects/campaigns.
Help create brand guidelines (with guidance from Creative Director).
Adapt branding across cultures.
Music-Specific Assets
Album/single artwork.
Merchandise designs.
Social media templates.
Lyric videos/visualizers.
Undisclosed Series Production Support
Show logo, episode thumbnails, and YouTube channel art.
